Set up the agency account. Then set up its first sub-account.

The parent agency is the management layer for settings, branding, snapshots and SaaS. It is not an operational business account. Create your first sub-account (child account) for your own agency business, then create another sub-account for every client you launch.

Before you start

Gather the access that blocks launches

Collect these items before you build the child account. It keeps the setup calm and avoids waiting on DNS, logins or approvals mid-launch.

  • Business identity: legal name, address, timezone, logo and support inbox.
  • Domain control: registrar/DNS access for the public site and email sending domain.
  • Messaging details: business registration information and SMS opt-in language.
  • Connected services: calendar, payments, social pages and staff access, only when in scope.
  • Existing contacts: a cleaned CSV with consent/source information, if importing.
  • Launch owner: someone who can approve DNS, billing and the final test.

Infrastructure is not branding: an agency default domain can be a sub-account fallback, but a customer-facing sub-account should use its own sending domain.

    Set up your agency account once

    These settings manage your sub-accounts. They do not run your agency's public website or inbox.

    • Service or retainer: you do the work and charge a fee. Skip SaaS Configurator.
    • SaaS: you sell CRM-platform access. Plan SaaS Configurator and billing in Session 2.
    • Hybrid: turn on SaaS only for customers buying platform access.
    Decision: Agency view → SaaS Configurator only if you are selling software access

    • Choose a sending subdomain, such as replies.youragency.com
    • Add it in LC Email
    • Publish and verify every DNS record HighLevel provides
    • Use a subdomain if your main domain already receives Google Workspace or Microsoft 365 mail
    This is agency infrastructure and a fallback for sub-accounts, not the client business’s branded sending domain.

    Set up your agency’s operational account

    This is where your agency’s website, leads, inbox and automations live. Repeat it for every client sub-account.

    Complete the business profile before connecting services

    • Add the business name and logo
    • Add the physical address and correct time zone
    • Add the business email, phone number and website
    Carriers and sending providers use these details. The time zone controls calendar availability and automation timing.

    What you should seeComplete the visible business details with the client’s real information. Notice that Branded Domain is optional here; it is not where you configure their email sending domain.

    Connect the public website domain and choose the canonical URL

    Add the domain in HighLevel, create the DNS records at the registrar, then attach it to the website or funnel. Pick either the root domain or www as the primary version and redirect the other one. Test the SSL certificate after DNS propagates.

    What you should seeUse Connect a domain when the business already owns a domain elsewhere. Purchase or transfer only if the business wants HighLevel to manage the registration as well.

    Choose and authenticate the sub-account’s sending domain

    This is separate from the parent agency’s CRM-platform emails. The account can fall back to the agency default LC Email domain, but use its own dedicated domain when the business needs customer-facing branding. Publish every DNS record HighLevel provides and verify before campaigns or automations send.

    What you should seeIf this notice appears, choose Create Dedicated Domain. HighLevel will then give you the DNS records to add where the domain is managed.

    Add a phone number and complete messaging registration

    Buy or connect the number, set the calling and forwarding behavior, and complete A2P/10DLC registration for US and Canadian application-to-person SMS. Do not promise automated texting until the registration status is approved.

    Invite staff, set permissions and build the first calendar

    Create only the user roles people need. Connect the assigned user's Google or Outlook calendar if availability matters, then set meeting duration, buffers, notifications and the confirmation page.

    Name the pipeline stages before connecting forms

    Define the few stages that reflect how this business actually sells. Every new lead should have a clear first stage, an owner and a next action. Add custom fields and tags only when a workflow, report or team member needs them.

    Clean and import contacts only when you are ready to use them

    Use a small, clean CSV first. Map name, email and phone fields, preserve consent/source information, tag the import batch and resolve duplicates before any campaign or workflow touches the list.

    Build one small workflow and test it before expanding

    Start with one trigger, such as a form submission, then add a tag, opportunity or internal notification. Test it on one contact before adding waits, branches, email or SMS.

    What you should seeFrom the workflow list, choose Create workflow to build from scratch, or Build using AI for a guided first draft. Start simple and test before turning it on.

    Connect payments before publishing an order form

    Connect the merchant account, confirm the legal business details and test the product, receipt and failed-payment experience. This is not required for a lead-generation website with no checkout.

    Connect business social accounts and permissions

    Connect only the channels the business plans to publish from or receive messages through. Confirm the business owns the pages, the right user has admin access and the first scheduled post or reply path works.

    Submit every website form with a real test email and phone

    Confirm the form creates one contact, applies the intended tag or source, creates the right opportunity and sends the internal notification. Check mobile as well as desktop.

    Book a real test appointment

    Use an outside calendar and a different email address. Verify the available slots, confirmation email, calendar event, reminders, reschedule link and assigned user. Check that the workflow does not send the same message twice.

    Run the public website launch check

    Open the live domain in an incognito browser. Confirm SSL, mobile navigation, page titles, favicon, primary CTA, forms, booking links, privacy policy, thank-you pages and all redirects. Add your analytics and ad pixels only after the page behaves correctly.

    Review the contact record as the final source of truth

    The best final screen is one contact record that shows the form submission, tags, pipeline stage, appointment and message history. If that record tells the correct story, the system is ready for real leads.

    Connect the infrastructure first. Build automations after the basics work.

    Once this checklist is complete, the next useful session is a simple lead workflow: a form submission, a contact tag, an opportunity, an instant notification and a calendar invitation. Do not build a complex nurture system until one real lead can move through the account cleanly.

    What is DNS?

    Think of your domain, such as yourbusiness.com, as your street address. DNS is the set of directions that tells the internet where that address should send website visitors and email.

    Where do I change DNS?
    Your DNS may be managed by Cloudflare, GoDaddy, Namecheap, Squarespace Domains, Shopify, or the company that registered your domain.
    What about my website host?
    Wix, Squarespace, Shopify, Webflow, and WordPress hosting may build or host your site. They are not always where DNS is managed.
    What you actually do: HighLevel shows you a short list of records. Copy those records into the place that manages your DNS. Do not delete an existing record unless HighLevel specifically tells you to replace it. If you do not control the account, send the exact records to the person who built your website or manages your domain.
